Scandic Hotels

1. General provisions regarding the membership

1.1 Minimum age for membership in the Scandic guest reward programme (hereinafter referred to as the "Scandic Programme") is 18 years. The membership in the Scandic Programme is a contractual arrangement between Scandic Hotels AB (hereinafter referred to as "Scandic") and you, personally (hereinafter referred to as the "Member"). Membership and the membership card may not be granted to companies or any other legal entities. Only one individual per membership may be registered. Only one Member per checked in room can earn points and receive benefits during a stay.
 
1.2 The participation in the Scandic Programme will be governed by these Terms & Conditions, and it is the responsibility of the Member to read and understand all the Terms & Conditions, inclusive of any amendments thereto. These Terms & Conditions shall replace all previous terms and conditions for any Scandic loyalty programme.
 
1.3 The Member undertakes to ensure that no unauthorized person gets access to the Members membership card, membership number and/or PIN code.
 
1.4 Scandic Reservation and Customer Service must be contacted immediately in writing if your membership card is lost or if your contact details have changed. Scandic will not be liable for any failure to inform the Member if correct contact information has not been provided.
 
1.5 The Scandic Programme is valid until further notice, and Scandic reserves the right to terminate the Scandic Programme by giving six months' notice to the Member.
 
1.6 Scandic reserves the right to modify the Terms & Conditions of the Scandic Programme by giving notice to the Member via at least one of the Scandic Programme information channels, i.e. via the website, e-mail or mail messages. Scandic will use all reasonable efforts to advise changes to these Terms & Conditions well in advance, but will not be held liable in any way for any failure to do so.
 
1.7 Scandic reserves the right to, in its sole discretion, terminate a membership in the Scandic Programme, and such termination can include forfeiture of points, in case the membership is misused. Such misuse may e.g. consist of unruly or disrespectful behavior towards Scandic or its partners, criminal acts or acts that are generally regarded as immoral or unethical or which are in breach of these Terms & Conditions. The Member may at any time, by written notice to Scandic Reservation and Customer Service, terminate the membership.
 
1.8 It is the responsibility of the Member to inform his/her employer in advance, and to obtain employer's prior consent if such consent is required when he/she expects to earn points in the Scandic Programme based on hotel nights or car rentals paid for by the employer. Points earned during or in connection with business travel, i.e. when hotel nights or car rentals are paid for by the employer, may not be used for private purposes without the employer's prior consent. Under any circumstance, Scandic cannot be held liable in any way for any failure by the Member to inform and/or obtain employer's prior consent.
 
1.9 In case points earned in connection with the employment are used for private purposes by the Member, such use may in some jurisdictions, such as e.g. in Sweden, Norway, Finland and Denmark, be subject to income tax or other taxes. It is the obligation of the Member to inform the employer and/or relevant authorities hereof and pay all applicable taxes and fees in relation to such use. Scandic disclaims any liability whatsoever with respect to taxes or tax obligations imposed on the Member in this regard.
 
1.10 Scandic point earnings and redemption are void where prohibited or restricted by local law.

 

2. Earning of Points

2.1 In order to earn points, the Member should state the membership number at the time of reservation and show the membership card upon check in at the Scandic hotel.
Points can be earned as from the date of enrollment in the Scandic Programme.
 
2.2 Points are earned on the basis of qualifying nights at a Scandic hotel. For one qualifying night, the Member earns 2000 points, plus the tier level bonus indicated below:
 
2nd floor bonus  15%
3rd floor bonus  25%
top floor bonus  50%.
 
2.3 Points can only be earned by one Scandic membership for one room per qualifying night.
Qualifying nights are those at all rates except as otherwise specified below in item 2.4. Please allow two weeks after check out for the points to be registered on the Members account.
 
2.4 No points, or credit towards tier status, are earned on discounted bookings, including, but not limited to, wholesale/tour operator packages, contracted airline crew rates, travel industry rates, complimentary or barter rooms. Hotel stays booked through a third party or on-line travel companies are not to be regarded as qualifying nights, irrespective of any rate paid. No points are earned when redeeming a hotel reward. No points may be earned in case a reservation is cancelled for reasons beyond Scandics or/and Scandics partners control.
 
2.5 Scandic points earned by a Member are not combinable with or transferable to other Scandic member accounts. The points may not be sold, transferred or otherwise exchanged for cash.
 
2.6 If a Member believes he or she has not received points for qualifying nights he or she must submit a written request for such points to the nearest Scandic Reservation and Customer Service office and include supporting documentation. Please see section 8.6 of
these Terms & Conditions for contact information. Requests must be received at Scandic Reservation and Customer Service within six months from the date of activity.
 
2.7 Accrued points are valid present calendar year plus 36 months, from date of earning. Points transferred from Hilton HHonors as part of Member conversion from Hilton HHonors to the Scandic Programme are valid until 31 December 2012.

3. Scandic Partners

3.1 Points may under certain conditions be earned through Scandic's partners based on the terms and conditions applied by such partners. The list of partners and their terms and conditions can be reviewed on www.scandichotels.com.
 
3.2 Scandic Members may, under certain conditions, receive frequent flyer mileage or similar points with Scandic's partners, in addition to Scandic points, for qualifying nights. For a list of such partners and links to the relevant partner's terms and conditions, please see www.scandichotels.com. Members who participate in other loyalty programmes with Scandic's partners, may earn points or similar only for one partner programme, besides the Scandic Programme, per hotel stay. Points earned by a Scandic Member in a partner programme are not transferable to Scandic member accounts.
 
3.3 Partner point earnings are void where prohibited or restricted by local law.

 

4. Use of points

4.1 Scandic Points can be used for hotel rewards at Scandic hotels. The reward must be booked by the Member and is valid for two persons in a standard double occupancy room.
 
4.2 There are four hotel reward categories;
Category 1   10000 points required
Category 2  20000 points required
Category 3  25000 points required
Category 4  30000 points required
 
4.3 Reward classifications may change at any time at Scandic's sole discretion. Please refer to the Hotel Rewards section on www.scandichotels.com for hotel reward classifications.
 
4.4 Points may not be used in connection with discount offers, coupons or special promotion campaigns unless otherwise explicitly stated.
 
4.5 Hotel rewards are subject to availability, and thus, rooms offered may be limited at specific participating hotels or during specific times of the year.
 
4.6 Members are entitled to all benefits associated to their tier level for Scandic hotel rewards. However, the hotel reward does not count toward tier qualification.

 

5. Reward Redemption

5.1 In order to book a hotel reward, the Member must have sufficient points in his or her account. For the relevant point requirement level for a specific hotel, please see www.scandichotels.com. When a hotel reward is booked, the corresponding number of points for that hotel reward will be deducted from the Member's account.
 
5.2 Hotel rewards may be booked, whether through Scandic Reservation and Customer Service or on-line, in the name of the Member or any other person as decided by the Member by stating the membership number and PIN code. Hotel rewards for another person than the Member may not be booked directly at a hotel.
 
5.3 Hotel reward reservations may be made up 12 months prior to arrival date.
Points which have been deducted from the Member's account, may be redeposit to the same account provided that the reservation has been cancelled in accordance with Scandic cancellation policy, please see information on www.scandichotels.com. Expired points may not be redeposited.

 

6. Earning Tier Status

6.1 New Members are recruited on 1st floor (i.e. basic level).
 
6.2 Members can earn or maintain tier level based on qualifying nights at Scandic hotels during any consecutive 12-month period. Once a Member attains a tier level, it will remain in effect 12 months from the date of upgrade.

6.3 2nd floor Membership
Scandic 2nd floor membership will be awarded to Members with a minimum of five (5) qualifying nights at Scandic hotels during any consecutive 12-month period.

6.4 3rd floor Membership
Scandic 3rd floor membership will be awarded to Members with a minimum of 25 qualifying nights at Scandic hotels during any consecutive 12 month period.

6.5 Top floor Membership
Scandic Top floor membership will be awarded to Members with a minimum of 45 qualifying nights at Scandic hotels during any consecutive 12-month period.

6.6 Members are entitled to all benefits associated with their tier level irrespective if the night is qualifying for point credit with exception of members staying on Crew rates, who will receive all benefits except the food and beverage voucher.

7. Use of Personal Data

7.1 The Member agrees and consents to Scandic's registration and processing of personal data relating to the Member in the Scandic Programme in accordance with applicable legislation and these Terms & Conditions. The personal data registered will only be processed and stored for the purpose of providing information of, and administering, the membership and Scandic points earned and to coordinate offers and activities with Scandic's partners around the world. Any other purpose(s) will require the Member's additional and express consent. The Member's consent do, however, cover and extend to the transfer of Personal data to Scandic's administrative centers, to other countries where Scandic hotels are situated and to Scandic's partners, hereunder to countries that are not members of the European Union or are affiliated to the European Economic Area. In order to comply with relevant, applicable legislation, Scandic will be required to routinely update personal data whereupon the Member will be asked to verify and/or update relevant personal data.
 
7.2 Scandic Hotels AB is the legal entity responsible with regard to personal data protection. Members of the Scandic Programme have the right to obtain information regarding what personal data relating to them are registered at Scandic by submitting a written and personally signed request to Scandic. Members also have the right to demand that Scandic rectifies or removes any data concerning the Member that is incorrect or incomplete. Furthermore, the Member may write to the above address at any time and indicate that he/she no longer wishes to receive direct mailings, whereupon all personal data will be deleted when such personal data are no longer necessary for the purpose set out under these Terms & Conditions.

  

8. Other provisions

8.1 Scandic's liability for damages is limited to direct damages caused in relation to the use of points in Scandic hotels only, and only in relation to the Member. As regards use of points for services provided by Scandic Partners, the conditions of the relevant Partner programme apply.
 
8.2 Local deviations to the membership conditions may apply based on mandatory legislation in the relevant country.
 
8.3 These Terms & Conditions are governed by and are to be construed under the laws of Sweden, save for mandatory statutory provisions under laws of other countries. Any dispute arising from or relating to the Scandic Programme shall be subject to the exclusive jurisdiction of Swedish courts.
